Before Moving to eBMR: Are Your Masters, BOMs and Manufacturing Stages Ready?

Electronic batch records need clear source data and process ownership. Use one representative product to assess your readiness before digitising batch execution.

Illustrative process. Product configuration, interfaces and responsibilities are agreed within the implementation scope.

A batch-record demonstration can look convincing with clean sample data. The real test begins when the project team asks which item code to use, which manufacturing instruction is approved and where an intermediate becomes available for the next stage.

Electronic batch manufacturing records, or eBMR, need more than a digital version of a paper form. The implementation must connect approved definitions, user responsibilities and actual production recording.

Begin with one representative product

Choose a product that exposes the plant’s real complexity. Include an intermediate, a quality hand-off or a packing variation where these apply. Do not select a complicated exception simply to make the exercise exhaustive; choose a normal product that requires departments to work together.

Use its material requirements and process sequence to identify the decisions that must be resolved before configuration.

Make item identity unambiguous

Review duplicate items, descriptions, units of measurement and material classifications. Agree how raw materials, packing materials, intermediates and finished products are distinguished in the system.

Where unit conversions are needed, establish their meaning and ownership. A consistent item master is valuable only if the teams entering transactions understand it in the same way.

Connect BOM structure with manufacturing stages

A bill of materials defines required components; operations and instructions describe additional aspects of execution. ERP documentation commonly distinguishes BOMs from the routes or production flows used alongside them.

For your product, identify where each material enters, what output is recorded and whether that output needs a separate identity. Keep approved process instructions distinct from planning assumptions.

Our companion article on stage-wise BOMs in pharma manufacturing examines this modelling decision in more detail.

Define quality and departmental hand-offs

Record who performs each activity, who reviews it and what makes the next activity permissible. Where quality status affects availability, decide how the relevant decision is reflected in the workflow.

Specify how a correction, unexpected result or interrupted activity is handled. The electronic process should give users a defined route for exceptions rather than encouraging unrecorded workarounds.

Agree roles before assigning access

Identify the operator, reviewer, approver, process owner and system administrator responsibilities relevant to the implementation. Review access using actual tasks, including absence cover and changes in responsibility.

Then confirm the required identity, approval and electronic-record controls within the agreed scope. Software configuration supports the customer’s controls; it does not replace the customer’s quality system or establish blanket regulatory compliance.

Reconcile opening data and in-progress work

Agree how existing stock, relevant batch references and any work in progress will enter the new system. Establish a cut-off point, verification responsibilities and the treatment of records that remain in the previous system.

Data migration should be tested with realistic records and reconciled before operational reliance. A technically successful import is not sufficient evidence that the business meaning has been preserved.

Define what readiness will look like

  • One agreed set of item identities and units.
  • A reviewed product and stage structure.
  • Clear source instructions and revision ownership.
  • Named users and review responsibilities.
  • A plan for opening data and historical access.
  • An agreed approach to testing, validation, training and operational approval.

Where Pharma Protocol fits into eBMR readiness

If purchasing, stores and accounting work in the existing ERP while manufacturing definitions and quality hand-offs remain in separate records, digitising a batch form alone may preserve those gaps. Pharma Protocol brings the discussion back to connected pharmaceutical operations: procurement, stores, QC, production, QA and dispatch.

Connect material identity with the manufacturing flow

The pharmaceutical ERP scope covers material and inventory control across raw materials, intermediates and finished goods. A readiness exercise should establish how your item identities, units, quality status and stage outputs fit that scope before electronic execution is configured.

Connect production records with review responsibilities

Structured eBMR workflows, electronic approvals, audit trails and role-based access are relevant controls to discuss for the proposed implementation. Map each requirement to the demonstrated function and agreed release; do not assume that every planned enhancement is already available in your installation.

Connect the new workflow with existing systems

Where ERP, LIMS or instrument connections are required, Neurons can scope integration around the available interfaces and the records to exchange. Agree which application owns the source instruction, result and status, rather than entering the same decision independently in multiple systems.

A useful demonstration: bring one product, its stage-wise requirements and a quality handoff. Ask us to map the ERP foundation, eBMR scope, implementation prerequisites and any development dependencies.

Neurons Software Consultants has served pharmaceutical customers for 23 years, with installations across 45+ formulation and bulk-drug manufacturers. Our implementation discussions connect software requirements with the way production, stores, quality and IT teams work.

To explore the ERP foundation, see Pharma Protocol pharmaceutical ERP. To discuss eBMR readiness, bring one representative product flow and discuss your requirements with Neurons.
